1.0 Determined that responsibility of meeting minutes will be partially shared by group members. Reviewed communication procedures and all members agreed: email communications will be limited to agendas, minutes, and meeting scheduling. Discussed need for chairperson, agreed that Kluk would serve as chair.

2.0 Reviewed committee’s objective as approved by Planning Board.

3.0 Reviewed the availability of data source reports as listed in Objective document. Added to list of reports to review:

1934 Meeting House report (Terani to locate)

Washington Elementary School Energy Audit (Chute to locate)

SDES Energy Audit Report on Meeting House (Kluk to locate)

Bill Cole Report on Meeting House (Kluk to locate)

4.0 Determined the data elements to be gathered for the capital improvement data. Chute volunteered to establish a Google Documents Excel spreadsheet for this data that can be accessed/updated by all committee members. Kluk will create a manual form for capturing data prior to entry in Excel if committee members chose to use it.

5.0 Developed plan for efficiently culling data from report sources. Reports were distributed as follows:

Terani: #1 Space Needs Task Force

Chute: #2 SDES Energy Audit #3 Peregrine Energy Audit Report

Kluk: #5 Bill Cole Report on Old School House

6.0 Targeted end of May to complete culling and entering of data from source reports as assigned above and to locate additional reports as specified in item 3.0.
